These Terms govern your use of Childcare Copilot operated by CCopilot, LLC. By using the Service you agree to these Terms and our Privacy Policy.
Eligibility
You confirm you are at least 18 years old and are the parent or legal guardian of any child whose data you submit.
Beta disclaimer
Childcare Copilot is a beta service under active development. It may contain bugs or interruptions. Features may change without notice. Do not rely on the Service as your sole record of childcare events or medication administration.
What the service does
Childcare Copilot provides:
- A unique household email inbox
- AI parsing of caregiver emails and photos into structured logs
- Multilingual processing in English, Spanish, Tagalog, Portuguese, French, and Hindi
- AI-generated behavioral pattern observations
- Morning briefing and evening recap emails
- A pediatrician report generator
- Allergen detection with amber warning indicators
- A Share with Caregiver feature subject to a seven-day rate limit
- Institutional email processing from schools, daycares, after-school programs, and pediatrician offices
- A weekly Sunday summary email where enabled
- Bulk note import
- Expense tracking from eligible caregiver emails with manual entry and weekly summaries
- Shareable milestone pages accessible to anyone with the unique URL
- Web push notifications in PWA mode for new logs, briefings, milestones, and allergen alerts
- Automated special occasion detection from your child's date of birth
- An Ask About Child feature for AI-answered questions about your child's logs using up to 30 days of data, rate limited to 10 per child per day
- A caregiver status page at a token-based URL accessible without login to anyone with the URL
- Automated escalating reminder emails to caregivers for missed working days with parent notification after five or more consecutive missed days
- A weekly caregiver engagement assessment in the Sunday summary email
All AI processing is performed by Anthropic's Claude API.

Photo policy
Submission of any sexually explicit or otherwise inappropriate photo of a child is strictly prohibited, will result in immediate account termination, and will be reported to NCMEC and law enforcement as required by 18 U.S.C. § 2258A.
Payment terms
New subscribers receive a 14-day free trial. Paid pricing is Starter at $19 per month and Family at $39 per month, billed through Stripe. You may cancel at any time by emailing hello@childcarecopilot.ai. Referral credits: one month free for referrer and referee when a referred family becomes a paying subscriber.
Caregiver consent
By adding a caregiver you confirm you have informed them that their shift emails will be processed by AI and displayed on your dashboard. Each caregiver receives a status page URL at caregiver.childcarecopilot.ai. Access is controlled solely by the token in the URL, and sharing it gives access to its contents to anyone who receives the link.
When you remove a caregiver their status page stops working but all logs and milestones they contributed remain in your family's record.
Acceptable use
Use the Service only for managing caregiver-to-parent childcare communication and record-keeping. You are responsible for any milestone page links you share. Sharing a milestone URL makes that page publicly accessible to anyone who receives it.
Each caregiver receives a unique status page URL. Access is controlled solely by the token in the URL, and sharing it gives access to its contents to anyone who receives the link.
Limitation of liability
To the maximum extent permitted by law, CCopilot, LLC shall not be liable for any indirect, incidental, or consequential damages. Our total liability shall not exceed the greater of the amount you paid us in the prior 12 months or $50 USD.
Termination
You may delete your account at any time using the Delete Account option in Settings. Type DELETE to confirm. Your account enters a 7-day grace period during which deletion can be cancelled. You will receive a 24-hour warning email before permanent deletion is finalized.
Upon final deletion all data is permanently removed and a courtesy notification is sent to each of your caregivers.
You may also email hello@childcarecopilot.ai to request deletion and we will complete it within 30 days. Our full data commitments are at app.childcarecopilot.ai/trust.
Governing law
These Terms are governed by the laws of the State of Texas. Disputes shall be resolved in Travis County, Texas courts.
