Who we are
Childcare Copilot is operated by CCopilot, LLC, based in Austin, Texas. Entity No. 806532263, filed April 6, 2026.
Information we collect
At signup we collect your name and email. As an active user we also collect: your child's name, age, and care preferences; caregiver names, emails, and preferred languages; the full text and any attached photos from caregiver shift emails; parent-submitted dashboard notes; medication names, dosages, and times; sleep, mood, meal, milestone, and activity data; AI-generated pattern observations; bulk import note text; pediatrician report data; allergen flags; thumbs up/down feedback signals; school name, grade, and contact email for children 3+; institutional sender data; referral attribution identifiers; and weekly summary data where enabled.
Your child's gender is stored and used to generate accurate pronouns across all AI-generated content. Where caregivers include expense amounts in emails, those amounts are extracted and stored for weekly summaries. Where you grant push notification permission in the app, a push subscription token is stored for your device.
Individual milestone entries may be shared via a unique URL. Sharing that link makes the milestone page accessible to anyone with the link.
When you use the Ask About Child feature, your typed question, the AI-generated answer, and any feedback are stored and used to personalize future AI-generated observations. Up to 30 days of care log data is transmitted to Anthropic's Claude AI per question, rate limited to 10 per child per day.
Each caregiver receives a token-based status page showing their streak, recent email summaries, and milestones captured, accessible without login to anyone with the URL. Caregivers may mark planned absences on this page.
Shift email activity is tracked per caregiver and automated reminder emails are sent at escalating tiers for missed working days, with parent notification after five or more consecutive missed days.
Your child's date of birth is used to detect monthly milestones under 24 months and birthdays and half birthdays for older children.
How we use it
We use your information to provide the service. We do not sell your personal information or use child data for advertising. Institutional senders may be registered to send emails to your family inbox. Only child-relevant content is extracted.
Your child's date of birth is used to detect and surface meaningful occasions on the dashboard and in morning briefings. The Sunday weekly summary includes an AI-generated caregiver engagement assessment based on shift email frequency, shared with the parent account holder only.
AI processing
Every caregiver email, parent note, and care log summary is transmitted to Anthropic's Claude AI for processing. Anthropic's Privacy Policy at anthropic.com/privacy governs their handling of this data.
Your child's gender is passed to all AI prompt templates solely to generate accurate pronouns in all AI-generated content. Institutional emails are processed via an auto-forward approach. Only forwarded copies reach the Copilot inbox, Childcare Copilot does not access your personal email account.
Children's data
Our service is not directed at children under 13. All child profile data is entered by the parent or legal guardian. Photos are stored in a private Supabase Storage bucket, never publicly accessible, and processed by Claude Vision.
Any photo containing inappropriate content is rejected and never stored. Submission of any sexually explicit or otherwise inappropriate photo of a child is strictly prohibited, will result in immediate account termination, and will be reported to NCMEC and law enforcement.

Data security
TLS encryption, Row-Level Security on all database tables, HTTP security headers, and webhook authentication.
Your rights (CCPA)
California residents may request access to or deletion of their personal information. We do not sell personal information.
To export your data, use the Export Data feature in Settings. You will receive a JSON file by email with all your care data organized per child, limited to 3 exports per 30 days.
To delete your account, use the Delete Account option in Settings. Type DELETE to confirm, and your account enters a 7-day grace period before permanent deletion.
You may also email hello@childcarecopilot.ai with subject "Privacy Request" for any other request. We respond within 45 days. Our full data commitments are at app.childcarecopilot.ai/trust.
